First… do you use a calendar to plan your days and weeks?

I’m asking because 70% of trainers whom I asked this question answered no.

That’s sad, right?

It really means that today, 70% of trainers don’t own their time.

70% of trainers today don’t own their days and weeks.

Many trainers say that they are “drowning” because of work and that they don’t have much time left for themselves.

For me, and I’m sorry to be that direct, it simply reflects a poor organization.

You can really enjoy your job as an online personal trainer, having a ton of free time and still delivering the best coaching experience for your clients.

How?

Let's dive in.

Take back control of your life

Before I share with you how you can be more efficient in a week and have more free time for yourself… I would like to make you aware of something really important.

This agenda that you’ll build, it’s your agenda.

No one else will have access to it.

This agenda will allow you to take back control of your days, weeks, months, your years, and finally… it will allow you to take back control of your life.

Your time is precious.

Really.

We don’t talk about it enough because we’re only focused on working on our business to succeed, but you have to keep in mind that your time is the most precious thing that you own.

Your time is limited… and you have to be able to use it for things that are useful & meaningful for you.

You have to invest it in things that make sense to you.

Really don't take it for granted.

To help you understand: one hour that you’ll set in this agenda, it’s one hour that you’ll not give to your loved ones, for example.

When you’ll set blocks in your agenda, don’t lie to yourself.

This is a mistake that many people are making, and I include myself in it.

Don’t set blocks just to set them knowing that you’ll not respect them.

Everything that you set in your agenda should be respected, and you’ll have to stick to it… otherwise, what’s the point?

Now that this is said, we can move on.

List your tasks for the week

To be the most efficient you can be in a week, you need to have a clear idea of everything you need to do in that week.

At least, you need to know what repetitive tasks you must do every week.

As an online fitness coach, the to-do list should give or take a few details, look something like this:

  • Create new fitness programs
  • Update existing client programs
  • Research content ideas
  • Write content
  • Shoot content
  • Publish content
  • Interact on social media platforms
  • Onboard new coaching clients
  • Manage client assessments
  • Answer client questions
  • Do your accounting
  • Training
  • Taking time for yourself
  • Educate yourself

For me, these are the tasks that should come up every week if you really want to succeed as a personal trainer.

Once you have this base, you can adapt your calendar to the more punctual tasks by leaving some free time on your agenda.

Create your time blocks

First of all... before even setting blocks related to the different tasks of your job... I recommend you block out times for yourself.

Moments that you want to spend with your loved ones.

Otherwise... if you use it correctly, you'll get to a point where it's not on your agenda... it doesn't exist.

Start by setting your workout blocks.

For example, if you train 4-times a week, create a workout block for that.

Create the one for Monday first... then click here to duplicate it for other days.

Then choose the training days and click on "save".

The second thing you can add is the time you want to spend with your loved ones.

It may seem cold to put it on the agenda, but it's the best possible way to really spend time with your loved ones without being taken by work.

For example, I just added two personal blocks that I really want to have every week.

Now that it's done... you can put your weekly tasks.

We'll start with Monday.

What tasks should be given priority at the beginning of your week?

The priority should be the assessments of your clients that were completed at the end of the week.

Depending on the number of clients you have, you may have to spend more or less time on them.

For fitness trainers on Gymkee, the average is 2 hours for up to 25 clients.

Then... something very important: the onboarding of new clients online.

You will generally onboard your new clients with a welcome e-mail or send them a first program that will serve as a test.

You also add this to the agenda.

Then comes lunch time... if you always have lunch at the same time you might as well create a block over several days.

In the afternoon, after lunch, you can tackle one of the most important things: building new programs or updating existing ones.

Two and a half hours seems to be enough for Monday... but it is a job that has to be done several times a week.

You will be able to add other blocks in your week to work on it.

In the late afternoon, your energy is much lower.

To get some work done, you can start researching content ideas to feed your social media.

Once your first day is established, we can go much faster with recurrent tasks.

For example... since you've come up with a lot of content ideas through this block, you now need to write that same content.

If you want to be successful online, you have to publish a lot of content... so this is something that will take you more time.

So for you to be as efficient as possible, you'd better schedule it in the morning.

You can put 3 blocks in your week in the morning to create content.

For the example, I'm going to put mine here on Tuesday, Wednesday and Friday.

DAY IN A LIFE OF PERSONAL TRAINER — CLIENT ASSESSMENT

Now... this content will have to be shot since there will be videos in it for TikTok, Instagram or YouTube.

3 hours of filming to shoot a maximum of content is more than enough.

I'm going to schedule it on Thursday morning.

These contents... they will have to be prepared and scheduled.

I'm going to use Thursday to prepare all my posts for the following week.

1h30 for the preparation of the posts and 1h30 for the planning seems reasonable.

My agenda is starting to look like something...

Now I'll be able to add the blocks where I can answer all my clients' questions and take care of them.

I think the 2-3pm time slot might be nice since it's usually a few hours before the workouts.

What you also need to do... and to keep it in mind, you need to be able to schedule times when you're going to be on social media to interact with people.

It's nice to post, post, post... but the platforms expect you to interact with people.

There... there I have a serious agenda that can help me manage my days and be as efficient as possible.

To end the week well and because it's important, I'll add my accounting.

You'll just have to think about adding a block once or twice a month to manage everything that is admin.

Having a Google Agenda saves you a lot of time… and you can use 7 for apps if you want to skyrocket your personal training business.
